Before scheduling service, we require the following:
● Property management company name
● Main point of contact
● Email address
● Phone number
● Company website (if available)
Service Request Information Required
To process a work order, please provide:
● Full service address
● Tenant name(s)
● Tenant phone number(s)
● Brief description of the issue
Incomplete information may delay scheduling.
Scheduling Policy
E & K Heating & Air schedules directly with the tenant/occupant.
This policy helps prevent:
● Missed appointments
● Scheduling conflicts
● Tenant no-shows
● Miscommunication through third-party scheduling
Please note:
● Scheduling directly with the tenant does NOT mean repair decisions or system findings are discussed with the tenant.
● All system findings, recommendations, estimates, approvals, and pricing are communicated directly to the property management company.
Once an appointment is scheduled, the property management company will receive confirmation by text and/or email.
Communication Policy
All work orders, scheduling updates, service communication, photos, and documentation should be sent through our designated communication line for the fastest response and proper documentation.
Work orders may also be sent by email if preferred; however, text communication through our designated messaging line is strongly encouraged for quicker response times and streamlined communication.

Diagnostic Fee & Payment Policy
Residential Diagnostic Service Call
● $75 per system
● Due same day as service
● Payment accepted by credit card via invoice
For new property management relationships:
● Same-day payment is required
● Invoicing terms are not extended until a working relationship has been established
At E & K Heating & Air's discretion, established property management partners may later qualify for short-term payment arrangements.
Diagnostic Fee Credit Policy
The $75 diagnostic fee is due the same day as service regardless of repair approval status.
If repair work is approved and completed while the technician is onsite, the residential diagnostic fee may be credited toward the repair.
Please note:
● We do not hold or delay diagnostic payment while waiting for repair approval decisions
● Diagnostic fees cannot be applied toward refrigerant
● Diagnostic fees cannot be applied toward filters
● Diagnostic fees cannot be applied toward preventative maintenance services
Estimates
As a general guideline, estimates are typically sent within 48 business hours following the service visit.
Some estimates may be completed sooner depending on the scope of work.
Duct Cleaning Services
E & K Heating & Air is NADCA Certified and offers professional HVAC duct cleaning services.
Please note:
● Duct cleaning is a separate service from a standard HVAC diagnostic visit
● Duct cleaning inspections are $89 and are required prior to cleaning for occupied residential properties
● Property management duct cleaning pricing is based on the scope of work, system size, accessibility, and overall system condition
● Vacant property cleanings may be quoted differently depending on the project
● Please inquire directly for duct cleaning pricing and availability
Photos & Service Documentation
Photos and service documentation may be provided before, during, and after service when applicable.
This helps maintain transparency and proper documentation for both the property management company and the tenant.
Preventative Maintenance Services
E & K Heating & Air also offers preventative maintenance services for residential and light commercial properties.
Maintenance scheduling is based on seasonal weather conditions to ensure systems can be properly tested and evaluated.
