Home Warranty Company Service Guidelines

Thank you for your interest in working with E & K Heating & Air.

We value strong communication, professionalism, and long-term working relationships with home warranty companies that share our commitment to quality service and customer care.

To help ensure a smooth experience for your team, the homeowner, and our technicians, please review the following guidelines before dispatching a service request.

These guidelines are intended to establish clear expectations and promote efficient communication throughout the warranty service process.

 

Scheduling Policy

E & K Heating & Air schedules directly with the homeowner.

This policy helps prevent:

  • Missed appointments

  • Scheduling conflicts

  • Communication delays

  • Duplicate scheduling attempts

Please note:

Our technician will communicate system findings directly with the homeowner during the visit and answer any questions regarding the condition of their HVAC system. If repairs require authorization, we will submit our findings and recommendations to the home warranty company for coverage determination. Throughout the process, E & K Heating & Air maintains clear communication with both the homeowner and the home warranty company to help ensure everyone remains informed.

Diagnostic Service Fee

 

Our residential diagnostic service fee is $75 per system.

Unless otherwise agreed upon in writing between E & K Heating & Air and the home warranty company:

  • Payment is due on the day of service.

  • We do not delay payment while awaiting claim review or repair authorization.

  • If repair approval is received while our technician is still onsite and the repair is completed during the same visit, the diagnostic fee will be credited toward the repair invoice (excluding refrigerant and filters).

 

Authorization & Repair Approvals

 

Our technician will diagnose the reported issue and document all findings.

If authorization is required before repairs can begin:

  • The diagnosis will be submitted to the home warranty company.

  • Repairs will not begin until authorization has been received.

  • Appointment availability is not held while waiting for authorization.

  • Once approval has been received and any required parts are available, repairs will be scheduled based on our next available appointment.

 

Parts & Return Visits

Parts are ordered after all required approvals have been received.

Repair appointments are scheduled after the required parts have arrived.

Please note that shipping delays, manufacturer backorders, and supplier availability are outside of E & K Heating & Air's control.

 

Coverage Determination

 

E & K Heating & Air diagnoses equipment failures and provides repair recommendations.

Coverage decisions are made solely by the home warranty company.

Any repairs, code upgrades, maintenance-related items, modifications, or other non-covered services remain the responsibility of the homeowner unless otherwise authorized.

 

Homeowner Access Requirements

 

To avoid delays:

  • An adult (18 years or older) should be present unless the property is vacant.

  • Pets should be secured prior to the technician's arrival.

  • Safe access to all HVAC equipment must be available.

 

Additional Recommendations

 

If our technician identifies concerns that fall outside of the home warranty company's coverage, separate recommendations or estimates may be provided directly to the homeowner.

Homeowners are under no obligation to proceed with any additional work through E & K Heating & Air.
